JOB SUMMARY

The assistant provides direct administrative supports to the Board of Leaders in daily tasks, include but not limited to the planning and organizing of meetings, travelling schedules and coordination with other departments to get the assigned jobs done.

JOB DUTIES/RESPONSIBILITIES

     - Assist Board of Leaders in daily jobs

     - Verify insurance documents before submitting Board of Leaders for approval

     - Translate documents from Vietnamese into English and vice versa, do interpretation as required in the meeting

     - Set up the meeting in and out of the office

     - Remind the Board of Leaders of the meeting and prepare (or obtain from other departments) relevant documents for the meeting

     - Prepare the expense report for the trip and send accounting department for clearance

     - Attend meetings, take notes, transcribe notes, derive action plans and follow up with all attendees to reinforce the meeting purpose, outcome and expected responses/actions

     - Perform general clerical duties including but not limited to: photocopying, scanning, faxing, mailing, and filing

     - Handle all duties with a high degree of integrity, professionalism and confidentiality

     - Other tasks within competence as assigned

JOB REQUIREMENTS

     - Female/male

     - Bachelor Degree of Business administration, Economics & Finance

     - Good communication skill, organizational skills & interpersonal skill

     - Good proficiency in English both in written and oral, Chinese is an advantage

     - Computer skills with proficiency in MS Office applications

     - Be able to work efficiently, independently and self-organized

     - Carefully, detail, & well follow up tasks

     - Ability to work under pressure, short deadlines and extra hours if needed

     - Experience is not required
